A practical school fee arrears workflow for Zimbabwean schools

Reliable follow-up starts with a reliable balance.

Before contacting a parent or guardian, the school needs confidence that billing, payments, adjustments and reversals are reflected in the same student account. If staff reconcile separate spreadsheets before every call, follow-up becomes slow and inconsistent.

1. Confirm the account before escalation

Check that the learner belongs to the correct fee group, all expected charges were posted, payments were allocated correctly and any authorised adjustment is recorded. Keep reversals visible in the transaction history rather than silently changing the past.

2. Group balances into useful worklists

A single total arrears figure does not tell staff what to do next. Review balances by class, fee group, amount and the date of the last payment or contact. Separate newly overdue accounts from older balances and cases already under an agreed arrangement.

3. Send a statement with clear context

The recipient should be able to see the opening position, charges, payments and current balance. State the school contact channel and the next action requested. Clear statements reduce back-and-forth and give both parties the same record for the discussion.

4. Record reminder and follow-up history

When a reminder is sent or a conversation happens, record the date, channel and outcome. If an arrangement is agreed, capture the next review date. This prevents repeated messages from different staff and helps the school apply its policy consistently.

5. Review exceptions with leadership

Management reporting should distinguish ordinary overdue accounts from disputed charges, unallocated payments and approved arrangements. Each category needs a different response. A regular short review is more useful than waiting until term-end pressure builds.

6. Protect dignity and confidentiality

Use authorised contact details, limit account access to appropriate staff and avoid exposing a learner’s fee position in public or group channels. Keep messages factual, respectful and aligned with the school’s approved policy.
